RV Rental Policies


The RV(s) are rented on a “first come, first serve” basis. You can reserve the RV for your dates with a 25% deposit (based on the rental total only) payable in either cash, credit card or PayPal along with valid Driver’s License and proof of insurance. Due to insurance restrictions, we cannot do "same day" rentals. All rentals must be completed 48 hours prior to rental dates. (We cannot guarantee availability on short notice) There are typically no minimum rental days except during some holidays and special events such as NASCAR, but 1 day rentals can only be made within 7 days of the date of usage and are 24-28 hour rentals (eg., pickup at 11am, return at 11am-3pm the final day of rental period). Deliveries require a 2 night minimum. We have a 14 day cancellation policy and a 21 day cancellation for special events, such as NASCAR and some holidays. For full refund of your reservation deposit, please call us at least 2 weeks before the start of your rental (3 weeks for special events) or deposit will be forfeited. Quoted rates are typically based on a rough 24-28 hr. rental period (eg., pickup at 11am, return the afternoon the final day of rental period). Owners reserve the final right to refuse rental.

Business Hours

We are open Monday to Friday, 9:00am to 5:30pm and Saturday, 10:00am to 2:00pm with service until 6:00pm. We do return calls, when possible, outside of business hours, so please make sure to leave a message. We also offer Sunday departures and returns. For our renters on vacation, call or text us anytime you have a question or problem. We can show RV's by appointment only and is based on availability.


Drivers must be 25 years of age or older. You will be required to carry insurance in the case of property damage while towing/driving. Insurance will also be required if we deliver the RV. Renters will either purchase insurance through MBA Insurance or through the Owner. No riders will be accepted on any pull-behinds. Rates are $3-$34 per day and are based on which RV you choose. For Class A & Class C Motorcoaches, you can contact your current insurance provider to see if they will provide a rider to cover the RV during the rental period. If they will, a Binder Agreement form will need to be signed to confirm coverage. If they cannot, you will need to purchase your coverage through MBA. Class A & Class C Motorcoaches insurance per diem will vary. Either we or the Owner will be able to provide you the rates on a specific RV. Do NOT DRINK and DRIVE. Our Insurance will NOT pay.


We accept payment through either Credit Card, PayPal.com, Cash or check. If paying with check, we must receive the monies no less than 10 days before your set departure date. Reservations will only be confirmed only once funds clear. Damage Deposits can only be paid with Cash or Credit Card. Sorry, but we cannot reverse credit card charges at this time. We cannot accept Money Orders. If using PayPal, the transaction must be confirmed 24 hours prior to pickup / delivery.


Rates, including mileage fees and generator charges, are at the discretion of the Owner. Rates may vary during major events, holidays and NASCAR. In most cases, discounts are available for long term rentals. Rental rates are based on a 24-36 hour period, so keep this in mind when taking possession of the RV as the pick up and return will need to be scheduled with us or the Owner. Credit and refunds

There are no refunds for early return or bad weather. No refunds will be made for malfunctioning TVs, DVD players, Microwave or oven. All rentals are subject to the terms and conditions of the rental contract. It is our mission to send you out in an RV that is in perfect condition. If, by chance, you find there is a problem with your RV, please contact us or the Owner immediately. Every attempt will be made to insure a wonderful vacation for you. There are also no refunds if we or the Owner are not given the opportunity to remedy any problem.

If you cancel outside of 14 days of your trip, your deposit, less the motor vehicle report and processing fee, will be refunded. If within the 14 day policy, your deposit will be forfeited. Cancellation policies for NASCAR, holidays and special events are 21 days. Please keep in mind that refunds can take 15-30 days to process.

Security Deposit

A refundable $250-$1000 damage deposit is required on our RV's and can be paid in either cash or credit card. The deposit is to be paid prior to or upon pickup or delivery and is completely refundable if the unit is returned in the condition set out in the contract between owner and renter. Deposit refunds for in-house rentals are authorized for return after a full inspection is completed. Inspections can take up to 7 days to complete.  Please allow bank and/or USPS time to get your damage deposit to you. It can typically take from 14-21 days to receive your return. Deposit refunds for referral RV's, where you work directly with the Owner, can be expected to be returned in a similar amount of time. Check with the owner of your rental for their specifics on damage deposit return. We are not able to reverse damage deposit credit card transactions at this time. If there are damages, the deposit will be held until the damages have been assessed and quotes given on repair costs.

RV Pickup

Upon pickup / delivery, we will do a walk-through with you as well as explain all the working systems, including but not limited to, awning, ovens, tank system and hook-ups. It can usually take from 1-1.5 hours to hand off an RV. Please allow yourself time. A complete set of manuals and how-to's are typically included in the RV as well and we are always available by phone if additional help is needed. All Travel Trailers are typically equipped with 20 or 30 lb. propane tanks and motorcoaches with higher capacity tanks. Tanks will be full prior to leaving in the RV and will need to be returned full. All tanks will need to be filled by an authorized propane dealer. No exchanges are allowed. We can fill tanks upon return for the cost of propane plus a $15 handling fee. Motorcoach fuel tanks are full upon departure and must be returned full. The renter will be charged a $25 fee plus the cost of fuel for not returning the unit full. Awnings are not to be used when winds are above 10 mph. Damage to awnings is not covered by insurance and is the full responsibility of the renter. Check with the Owner to see what hitching equipment is provided. In most cases, the ball, sway bar and stabilizer bars are provided in the rental and instruction will be given for hitching. If pulling a Travel Trailer or Toy Hauler, your vehicle will need to be equipped with a Class III or Class IV receiver and either a 4 way or 7 way round connector. It is the renters responsibility to insure that their vehicle is trailer ready, including any necessary adapters. Keep in mind that some tow packages are not fully functional right out of the dealership. Check with a dealership or mechanic if you are uncertain or if your vehicle has never towed an RV. Rental rates are based on a 24-36 hour period, so keep this in mind when taking possession of the RV as the pick up and return will need to be scheduled with us or the Owner. Pick ups usually start at 9am. If you would like to request an early pickup and/or late drop off, contact us or the Owner 48 hours prior to your trip to check on availability.

RV Return

The RV should be returned in the condition in which it was handed over at the agreed upon time. Tanks emptied and flushed, tabletops and counters wiped down, bathroom cleaned, refrigerator emptied and wiped down, floors swept and exterior cleaned. Gasoline tanks are full upon departure and must be returned full. The renter will be charged a $25 fee plus the cost of fuel for not returning the unit full. Propane tanks are filled upon departure and are required to be full upon return. All tanks will need to be filled by an authorized propane dealer. No exchanges are allowed. The renter will be charged $15 plus the cost of propane if tanks are not returned full. If the RV is stocked with an Amenities Package, the renter is required to wash the linens, and must clean any dishes, pots, pans, etc. We or the Owner is happy to clean any of these things for a fee. Charges may apply if there is excessive mud or dirt inside or outside of the RV. We do allow pets in most of our RV's with a $50 non-refundable cleaning deposit per pet. However, if returned with excessive hair or damage from the pet, the cost to clean, replace or repair will be deducted from the damage deposit.

Mileage charges

There are no mileage charges on pull-behinds. Free miles are determined by each Owner on a case by case basis. Mileage charges beyond the miles allowed can range between .20 and .45 per mile and will depend on the unit and/or owner. If towing a trailer or vehicle behind a motorcoach, there is an additional .10 per mile charge (after free miles). Outside insurance must be provided for both the motorcoach and the towed vehicle. Mileage for your trip will be estimated, noted in the contract and paid for in initial rental of the unit. Refunds will be given for any miles unused and charges incurred for overages based on actual mileage. Provide us with with your total trip information and destination, and we will provide you with an estimated quote to help you in your decision.


The RV's we list are later model and we counsel and encourage Owners to regularly inspect and maintain their RV. With this in mind, we don't expect problems too often, if any. Roadside assistance is available for free on some of our motor homes. If a mechanical problem does occur, Us or the Owner should be immediately contacted and should make every possible attempt to rectify the situation as soon as possible to get you back on road. Damages to tires and vehicle from tire damage are considered Road Hazard and are the responsibility of the renter. Tires are inspected prior to departure and on return. In the event of a tire problem, please contact a local professional tire service to have a replacement tire of the same size, type and brand installed. Damaged tires must be kept for inspection upon return. We encourage you to let us know about your experience and level of satisfaction for our own files.

Late return charges

Check with the Owner on your return time to avoid any late charges. Late fees are $50 for the first hour and $10 every hour after. To avoid charges, just notify us or the Owner if you are running behind.One night rentals that exceed the 28 hour window will incur an additional total nightly rental charge.

Generator charges

If available, Owners will rent their generators on a daily basis which will range between $10 and $50 a day or on an hourly basis. We can provide an exact quote based on your needs. When renting a motorcoach, we can estimate your generator use hourly or daily, based on your trip. Portable generator availability is limited.

Pet charges

Most of our RV's allow pets. There is a $50 non-refundable pet cleaning fee per pet. (Rates may vary) If damage from pet exceeds this amount, any necessary remainder will be taken out of the damage deposit.

DMV Screening and the Right to Refuse

For security reasons, Texas RV Owners Rental will screen your driving record with the DMV. (MVR) There is a non-refundable $15 charge due for each driver at the time of reservation. Please let us know how many drivers you will be adding to the insurance policy so we can allot for the correct amount of MVR's needed. Out of country records checks can take up to 3 month's to acquire. Owners reserve the right to refuse service. In the event that a renter is denied rental due to driving history, the MVR (Motor Vehicle Report) fee will not be refunded.
